How Elektro document today – and what it costs
An electrical contractor produces inspection protocols every day: initial and periodic verification of fixed installations, equipment testing, E-Check, commissioning, acceptance with the customer. Every protocol has readings per circuit, visual inspection, defects and a rating — and every inspection needs the history of the previous one. Today this sits on test sheets in the van, in the tester's software and in Word templates in the office, merged at night.
That costs in three places: the technician writes on site and types again at night. The office formats, corrects transposed digits and searches the team chat for photos. And the customer receives the report days after the inspection — the invoice correspondingly later. Defects are in the protocol, but nobody assigns them; the fix is 'done along the way' at the next visit or forgotten.
For the owner this means: they do not know which inspections are open, which installations are due soon, and whether in a dispute the protocol is complete and approved by the responsible electrician. ProtocolHero answers exactly that — and completes more inspections with the same team because readings, defects and approvals are no longer retyped.
Who ProtocolHero is built for
- Electrical contractors with technicians in the field and inspectors for equipment and installation testing
- Electrical and building-services companies with maintenance contracts for commercial, industrial and housing clients
- Companies with their own inspection department that test portable equipment and fixed installations periodically
- Electrical planners and general contractors who collect and approve inspections from subcontractors
Four things that change for management
Not more forms, but less rework, less risk and a business you can show at any time.
Record readings once, never retype them
Every circuit is a row of a recurring block with required fields for insulation resistance, loop impedance, RCD trip and rating. Documentation is structured along DIN VDE 0100-600; the Hero Agent reads CSV exports from the tester or photos of its display. The inspector cannot skip a circuit, the office retypes nothing.
You see every installation, every deadline, every inspector
Installations and equipment live in the database with location, interval and previous values. The document hub shows per customer and inspector what is in draft, in review or approved. The Hero Agent posts due periodic inspections to your channel before the customer asks.
Approval by the responsible electrician, with timestamp
The inspector submits, the responsible electrician reviews and approves, the customer receives the link. Every step is in the activity log with a timestamp; the PDF carries the signature and optionally a SHA-256 file proof. In a liability question you show in seconds who measured and approved when.
Defects are assigned, not just noted
Every protocol lands as a card on the board. The Hero Agent recognises defects by your rules, moves the card to 'defect open', assigns the technician, sets the deadline and asks for the photo of the fix. The defect becomes a job — and revenue that is left on the table today.
So unterstützt ProtocolHero Elektro
From template to proof
One continuous process instead of isolated tools – identical for every team, with clear ownership per step.
- 1
Create inspection templates centrally
Installation test, equipment test, E-Check, commissioning, acceptance — once as a template with required fields, measurement tables and rating logic. All inspectors work with the same version.
- 2
Installations and equipment in the database
Customer, location, distribution boards, circuits, equipment with inventory number, inspection interval and previous values. Each inspection selects the installation and master data flows into the protocol.
- 3
Inspector measures on site — offline too
Readings per circuit on the tablet, photos per defect, visual inspection as a checklist. Work continues in the plant room without signal; sync happens once there is a connection.
- 4
Read tester and photos
CSV export from the tester or a photo of the display: the Hero Agent transfers the values into the right fields. The inspector checks instead of copying.
- 5
Approval and customer handover
The responsible electrician checks values and rating and approves. The customer receives link and PDF — whoever needs workspace access gets a role, whoever only needs to read gets the protected link.
- 6
Defects and next inspection
Defects sit on the board with owner and deadline; the fix is linked with a photo in the same protocol. The periodic inspection is stored with a deadline in the database.
Run the numbers for your business
An electrical contractor with twelve technicians, four of whom inspect regularly, quickly produces 120 inspection protocols a month. If each protocol costs 30 minutes for retyping readings, assigning photos, formatting and filing, that is 60 hours a month — the working time of a skilled employee in which nobody inspects and nobody invoices.
With ProtocolHero the protocol is finished when the inspector leaves the installation. What remains in the office is the professional approval, typically a few minutes. Add what does not happen today: a defect forgotten as a job. A periodic inspection done by the competitor because nobody saw the deadline. A liability case in which the proof is incomplete.
- Record readings once on site — the Hero Agent reads CSV and photos
- Required fields per circuit prevent return trips and queries
- Deadline overview secures periodic inspections and recurring revenue
- Approval with timestamp and PDF lowers liability and dispute risk
Inspection protocols, maintenance reports, acceptances, fault reports
Retyping, matching photos, follow-ups, creating the PDF, filing
Review and approve – the rest is captured on site
