What Belongs in a German Reference Letter (Arbeitszeugnis)?
Under German employment law (§ 109 GewO), employees are generally entitled to a written reference when leaving a company. The law distinguishes between a simple reference (einfaches Arbeitszeugnis) and a qualified reference (qualifiziertes Arbeitszeugnis).
A simple reference only documents the type of activity and the exact duration of employment. At the employee's request, however, the employer must issue a qualified reference. This additionally includes a detailed evaluation of performance and conduct, which is highly relevant for the employee's future job applications.
According to Chamber of Industry and Commerce (IHK) guidelines, a structured reference letter should follow a logical sequence:
- Header (e.g., 'Arbeitszeugnis')
- Employee details and employment period
- Detailed description of tasks and responsibilities
- Performance evaluation (expertise, work style, achievements)
- Behavioral evaluation (conduct towards supervisors, colleagues, and customers)
- Closing formula (optional but common: thanks, regret, and future wishes)
- Date, location, and signature of the issuer
